Job Description

SUMMARY OF POSITION

The Vaccine Coordinator is responsible for overseeing the vaccines supplied by the VFC program, as well as all other vaccines at Vibrant Health. They are responsible for maintaining compliance with vaccine management. Vaccine management includes: vaccine ordering, inventory and reconciliation, storage and handling, temperature monitoring, transfer of vaccines, administering and managing an emergency plan.

ESSENTIAL JOB DUTIES
  • Ordering, administering, and inventory control of vaccines including tracking usage, wastage and administration, and updating Web IZ and the electronic health record to accurately reflect vaccine usage.
  • Develops and maintains updated administrative policies and materials necessary for vaccine administration such as vaccine standing orders, pre-vaccination checklists, consent forms and vaccine information statements.
  • Educates staff and the community on the importance of vaccines, including development of educational materials.
  • Supervises the training and work of staff and vaccine educators/vaccinators and maintains training records in collaboration with Director of Clinical Operations
  • Quality data management to ensure rigorous internal controls and patient safety, and to monitor improvements in vaccine uptake throughout the organization.
  • Managing vaccine inventory involves identifying vaccines upon receipt, account for total inventory supply, rotate stock and records temperatures. In the event of an emergency, the vaccine coordinator is responsible for troubleshooting and instituting the backup protocol to safeguard the vaccine inventory.
  • Effectively communicates progress, risks, and potential solutions clearly and concisely to all stakeholders including senior leadership.
  • Maintains integrity of the system and of Vibrant Health's relationship with outside organizations and vendors.
  • Proactively identifies potential risks and issues and collaboratively develops mitigation strategies, reporting to senior management as necessary.
  • Developing an Emergency Backup Protocol for safeguarding vaccines and instituting routine training for appropriate staff
  • Label and store state supplied vaccines separate from privately purchased vaccines
  • Immediately contact KDHE or the supplier if there are any discrepancies with the shipment.
  • Store vaccines with shorter expiration dates in the front of the unit for proper rotation of stock.
  • Oversee the recording of the refrigerator and freezer temperatures on the temperature log at least twice daily.
  • Capture minimum and maximum temperatures once daily from data logger thermometers
  • Download data logger reports monthly.
  • Vaccine orders should be based on population size and usage. Vaccine reconciliation must be done on a monthly basis.
  • Perform a physical inventory of vaccines on hand and determine doses administered since the date of the last reconciliation. Resolve all vaccine discrepancies before you submit to KDHE.
  • Report all days that Vibrant Health will be closed during the coming month to prevent vaccines from getting delivered when the site is closed.
  • Submit vaccine orders in the appropriate venues and channels, keeping adequate supply on hand.
  • should be monitored closely to prevent wastage. If wastage occurs, report it to KDHW. Expired vaccines and vaccines that have spoiled due to a breach in the cold chain should be returned to KDHE. Broken vials, expired open multi-dose vials and unused pre-drawn vaccine should be discarded appropriately on site. Some wastage situations may require restitution as determined by the KDHE.
  • Contact KDHE as soon as temperature excursion is suspected vaccine may be spoiled to determine viability
  • Separate wasted vaccine from viable main supply and label "DO NOT USE"
  • Include a spoilage letter with all wastage. A spoilage letter explains what happened to the vaccine and steps the practice will take prevent wastage in the future.

REQUIRED KNOWLEDGE, SKILLS, AND ABILITIES
  • RN with nursing license in the State of Kansas
  • Current BLS
  • Experience with vaccine management and administration and patient education
  • Excellent verbal and written communication skills
  • Strong clinical management skills
  • Advanced computer skills including but not limited to use of Word, Excel, Outlook and electronic medical records
  • Strong leadership skills
  • Sound decision-making and professional judgement
